Frequently asked questions
Forward your booking emails to TripWaffle and it turns them into one live itinerary, with alerts when a gate, delay or baggage belt changes. Free, on iPhone, Android and the web.

Privacy and your data
Do you read my inbox?
No. TripWaffle never connects to your mailbox. We only see the emails you choose to forward to us, and nothing else. We firmly believe direct email access is an unnecessary risk to all users, as a compromise could lead to an attacker gaining access to password resets for all your services.
What happens to a booking email after I forward it?
We read the booking out of it: dates, times, confirmation numbers, addresses. The email itself is deleted within 30 days. What stays is the itinerary on your trip. We keep the booking, not the email, because a stored inbox is a liability and an itinerary is all you ever needed from it.
Do you sell my data or show ads?
No, and no. There are no ads anywhere in TripWaffle, and we never sell or rent anything about you. We treat your data as we would our own.
Is there a password that could leak?
No. You sign in with Google, Apple or a one-time code we email you. We never store a password for you, so there is nothing for a breach to take and nothing for you to reuse somewhere else.
If you use Apple's Hide My Email, we never see your real address.
Who can see my trips?
You, and the people you invite. Nobody else can find a trip. If you create a link to a trip, anyone with the link can view it, and you can switch the link off whenever you like. Sharing is opt-in per trip and per person, so a trip is private until you decide otherwise, never the other way round.
Can I delete my data?
Yes. Delete a trip, an event or an attachment at any time and it is gone. To delete your whole account, head to settings > account. Your travel history leaves when you do.
What does a connected assistant get to see?
Only your own trips and the trips shared with you, and only after you connect it. Disconnect it from settings and its access stops straight away. We give an assistant the minimum it needs to be useful, and you hold the switch.
Are my travel documents private?
Yes. A document in Travel Docs is private to you unless you choose to share it with the people on a trip. A connected assistant can't open your Travel Docs. Passports and insurance papers are the most sensitive things in a trip, so they get the tightest rules, including optional pin protection.
Who makes TripWaffle, and why?
A small team of passionate travellers who wanted a better tool to manage the complexities of complex itineraries. We use it ourselves for every trip, and enjoy serving the broader travel community.
Forwarding and importing bookings
What can I forward?
Any booking confirmation: flights, hotels, trains, car hire, cruises, tours, restaurant bookings and event tickets. PDF itineraries and attachments work too. It works with any airline, hotel or booking site. You never fill in a form for a booking you already have in your inbox. The confirmation is the data entry and we pride ourselves on perfect extraction of virtually any booking email, different languages included.
How do I forward a booking?
Forward the email to your TripWaffle address, shown once you sign in. We recognise you by the address you send from. That is the whole process. No app to open and no fields to type. Forwarding works from any mail client you already use.
Do I have to forward emails?
No. You can add events by hand, import your history from the trip and flight apps you have used, or connect an assistant and let it do the typing. We prefer forwarding because the confirmation is the airline's own copy of the booking, which beats retyping it.
How does a booking end up on the right trip?
TripWaffle files each booking on the trip it belongs to, and creates a trip when there isn't one yet. If it guesses wrong, move the event to another trip. It keeps its attachments and notes. Filing is automatic because picking a trip from a list for every email is the chore that makes people stop forwarding.
What if I forward the same booking twice?
You get one event, not two. Any notes you added to it are kept. Forwarding twice is common, especially from a shared inbox, so it has to be safe.
What if a booking changes?
Forward the change email from the airline, hotel or booking site. The event updates in place: new times, new flight number, new room. You don't need to delete anything. A trip that is out of date is worse than no trip at all, so updates are the part we take most seriously.
What about a cancellation?
Forward the cancellation email and the booking comes off your trip. You get a confirmation that it was removed.
What if an email can't be read?
You get a reply within minutes saying what went wrong, and your trip is left as it was. You can then add the booking by hand or paste it to a connected assistant. It's very rare for TripWaffle to be unable to read a booking email though.
Do my tickets get attached?
Yes. A PDF with a scannable code, such as a boarding pass, a train ticket or a museum ticket, is attached to its event so it is ready at the gate. The ticket lives with the flight or the museum it belongs to, not in a search through your inbox at the entrance.
Can I send a screenshot or pasted text instead of an email?
Yes. Email a screenshot or a PDF, or paste the confirmation text to a connected assistant. It is filed the same way a forwarded email is. Whatever form the booking arrived in, you should never have to retype it.
Does TripWaffle watch for airline schedule changes?
Yes. If an airline moves your flight, your trip updates by itself and you get a notification when the move is big enough to matter. Airlines move flights months out, and the email about it is easy to miss. The trip should move with the airline, not wait for you to notice.
Can I import my past trips?
Yes. Bring your past trips and flights across from the trip and flight apps you have used, so your stats and your map start complete. TripWaffle has easy importers for TripIt, Flighty, TripCase, Kayak, FlightRadar24 and OpenFlights.
Can I add a flight with just the flight number?
Yes. Type the flight number and date on the dashboard and the flight is added with its times and airports, tracked like any other.
Can I paste a confirmation instead of forwarding?
Yes. Paste the text on the dashboard, or hand it to a connected assistant. It's read the same way a forwarded email is.
What if two trips should really be one?
You get a "one trip or two?" prompt when two trips look like one journey, and a merge takes one tap. Nothing is merged without you.
Alerts and reminders
What flight alerts do I get?
On the day: gate and terminal changes, delays, cancellations and reinstatements, boarding, diversions, your aircraft landing, and your baggage belt.
Before the day: schedule changes, aircraft changes, check-in reminders and entry document reminders.
Early warnings too, when a delay is likely before the airline announces one.
TripWaffle understands how hectic things get while travelling, so intentionally only sends notifications that count.
Are flight alerts free?
Yes. Every flight on your trips is watched. There is no subscription and nothing to switch on. Being told your gate changed should not be a paid tier.
How quickly do alerts arrive?
Usually within seconds of the change. We publish our timing in public, flight by flight, on the flight alert benchmark page, wins and losses included. The quality and speed of TripWaffle flight alerts is comparable with the best in the industry.
Will I know if a delay breaks my connection?
Yes. You get the route to your next gate, a flag when the connection is tight, and a warning when a delay eats into the time you had. A tight connection is where a trip goes wrong, so it gets the earliest warning we can give.
Can I choose which alerts I get?
Yes. Alerts come as push notifications in the app and as email. Each category can be switched on or off in settings, for push and for email separately. An alert you did not want teaches you to ignore the ones you did, so every category is yours to switch off.
What is WaffleWatch?
Notices about things that could affect your trip: strikes, protests, closures and weather warnings at the places you are going, with government travel advice where it applies. A strike announced three days out is more useful than a delay announced at the gate, so we proactively monitor your route for possible disruptions.
Does it keep watching prices after I book?
Yes. Switch WaffleDrop on for a flight or stay and you get a notification when the price falls 10% below what you paid, so you can rebook or ask for the difference.
Which alerts can I turn off?
Nearly all of them. Every topic is a switch in settings > notifications: delays, boarding, gate and aircraft changes, airport updates, check-in, hotel checkout, booking confirmations, WaffleWatch, seat tips, price drops, entry documents and more. Inside a topic you can switch off single alert types too. Cancellations, diversions, sign-in alerts and problems with a forwarded email are always sent.
Does it remind me before a free-cancellation window closes?
Yes. Before a refundable booking's free-cancellation period ends, you get an email so you can check whether the price has dropped and rebook, or cancel if your plans changed. Email only, and you can switch it off in settings.
Will it remind me when a balance is due?
Yes. A week before a balance is due on a booking, you get a reminder. It isn't sent when the booking site charges your card automatically.
Does it tell me if I'm owed flight compensation?
Yes. After a long delay or a cancellation on a flight covered by EU or UK rules, you get an email saying you may be entitled to compensation and what to do next.
Do I get a check-in reminder?
Yes. When online check-in opens for a flight, you get a push or an email with the airline's check-in link. Several flights opening at once arrive as one message, not five.
Will it remind me to check out of my hotel?
Yes. An hour before checkout you get a push, unless you already have onward transport booked, in which case we assume you're up.
Will it warn me if my passport or visa is a problem?
Yes. Entry document reminders cover arrival cards, visas and travel authorisations, passport validity for the countries you're visiting, a Schengen 90-day warning, and a note 30 days before a travel insurance policy ends.
Can I get a reminder a set number of hours before a flight?
Yes. Pick an airline and a number of hours, and you get a push that many hours before every flight with that airline. Handy for airlines with early bag-drop cut-offs.
Does it warn me about a bad seat?
Yes. If the seat on your booking has a known downside, such as no recline or being next to the toilets, you get a push while there's still time to change it.
What happens if I add a flight it can't find?
You get a message asking for a flight number, or telling you the flight can't be confirmed, so you know it isn't being tracked. Silence would be worse.
Do you tell me when a forwarded booking has been added?
Yes. A confirmation that the booking landed on your trip, or that it was skipped as a duplicate. You can turn these confirmations off once you trust it.
Your flights
What does a flight page show on the day?
Live status with a countdown: boarding, taxiing, en route, landed, delayed, diverted or cancelled. Gate, terminal and baggage belt. A timeline of when to leave for the airport and when boarding starts.
Can I see where my plane is?
Yes. Before departure you see where your aircraft is and the flight it's arriving on, so you know early if it's running late. Once you're in the air, there's a live map.
Does it explain why my flight is delayed?
Where it can. The page names the likely cause, such as weather, air traffic control, a late incoming aircraft or an aircraft change, and says whether the delay could grow. A delay you understand is easier to plan around.
Will I know how busy the airport will be?
Yes. The airport outlook shows how busy your departure airport is expected to be and the likely security wait, so you can time your arrival instead of guessing.
Does it show the terminal and the walk to the gate?
Yes. A terminal map with your gate and the walking time to it, plus the lounges in your terminal.
Can I check my seat?
Yes. Seat info shows legroom, width, recline, power and wifi for your seat and how it compares with the rest of the cabin, plus a guide to choosing a better one.
Does it show the flight's on-time record?
Yes. On-time and cancellation rates for the flight, with its recent departures and arrivals, so you know what to expect before the day.
What does it know about the aircraft?
The type, the year it was built, and how many times you've flown on that exact plane.
Can someone follow my flight without an account?
Yes. Share Flight Status gives you a public link anyone can open to see the live status and arrival time, with nothing else from your trip.
Does it work for cruises and trains?
Yes. Cruises show the ship's live position and route, with "at sea" days on the timeline. Trains and buses get the same timeline, directions and tickets as flights.
How tight is too tight for a connection?
The timeline gives each connection a verdict, from fine to tight to no chance, with the reason and the walking time between gates. You find out while you can still change it, not at the gate.
Why does my flight page show a security wait weeks before I fly?
That figure is the usual wait at that airport for the weekday and hour you will reach security, not a live reading. Closer to departure it is replaced by the live wait where the airport publishes one. We show the usual figure early because the decision it informs, how early to leave, is made days before the live number exists.
Your trip page
Does it do packing lists?
Yes. Each traveller on a trip has their own packing list, with suggestions to tap from and a running count of what is packed.
What else does it tell me about my trip?
Check-in times and addresses for every stay, visa and entry document reminders, plug types, safety notes, lost-luggage risk for your flights, a currency converter, public holidays at your destination, and a map of the whole journey. All of it timed and prioritized for when you need it most.
Do I get lifetime travel stats?
Yes. Every flight, mile and country, counted automatically, with a map of everywhere you have been. Interesting observations and beautiful infographics about your travel patterns and achievements.
What is on the trip page?
One timeline of every booking, day by day, with the cards you choose above it: packing, weather, jet lag, currency, local phrases, visas and plugs, insurance, documents, expenses, luggage risk, Schengen days and a map. Reorder or hide any of them.
Does it have a currency converter?
Yes. A rates card for each destination and a calculator that works both ways, with quick amounts and the local average wage for context. Rates update daily. Your home currency follows your country of residence.
Does it teach me local phrases?
A short list for each destination: hello, thank you, yes and no, sorry, goodbye, cheers, "do you speak English" and the numbers. Enough to be polite, which goes a long way.
Does it show safety information for where I'm going?
Yes. Each stop shows the government advice level and any regional warnings. Hotels and places get a safety score with tips on staying safe, local customs and areas to be careful in. Our public safety guides cover 380+ destinations.
Does it tell me about visas and entry rules?
Yes. For each country on the trip you see what your passport needs: visa, eVisa, travel authorisation or visa-free, and whether an arrival card is needed, with a link to the official site. Add the visas you already hold and it stops reminding you.
What about plugs and voltage?
Each destination shows the plug types and warns you when the voltage differs from home.
Does it show emergency numbers?
Yes. Police, ambulance and fire for every country on the trip, on the destination card.
Does it help with jet lag?
Yes. A jet lag plan for the trip: how far your body clock moves, how many days it takes to adjust, and simple daily rules for light, sleep and meals. Short hops get "no plan needed".
Does it show the weather?
Yes. A temperature range for each destination with rain and wind, and a day-by-day forecast nearer the time. The packing list uses it too.
Can I track my spending?
Yes. Expenses by category, paid or still to pay, extra purchases and a spending-money estimate, all converted into your home currency. Download the lot as a spreadsheet.
What is the Schengen counter?
Days used and days left in the 90-in-180 Schengen allowance, worked out from your trips, with a warning before you run short.
Does it store my travel insurance?
Yes. Upload the policy to Travel Docs and the trip shows the policy in force, its number and a tap-to-call assistance line. You get a reminder 30 days before it ends.
What are Travel Docs?
A place for passports, entry approvals, insurance and licences, with expiry dates, protected by a 4-digit PIN. Each document stays private unless you share it with the people on a trip. They're available offline in the app.
What is the lost luggage risk?
Each connection gets a risk level with the reasons behind it, so you know when to carry on, photograph your bag or pack a change of clothes in your hand luggage.
What are Place Ideas?
A shortlist for things you might do: a restaurant, a market, a link someone sent you. Add notes and a date if it has one. When you decide, "Schedule it" turns the idea into a real event.
What is Discover?
A map of notable places near your stay. Tap a dot for details, save it to your trip's Place Ideas, or open it in your maps app.
Will it spot gaps in my trip?
Yes. Missing nights and missing transport between stops are flagged, with a tap to jump to the day. Dismiss the ones you planned that way.
Does it show public holidays and local events?
Yes. A badge on the day for public holidays, with what to expect, and local events with a link to the organiser. Clock changes during the trip are noted too.
Does it show travel times between bookings?
Yes. Walking, cycling, public transport or driving time between one event and the next, and a warning when a turnaround looks too tight.
Can I add notes?
Yes. Quick notes for the whole trip, and notes on each booking with bold, links and bullet points. Notes are kept when a booking updates.
Does it keep a history of changes?
Yes. Every event shows when it was added and every change since, including who made it on a shared trip.
Can I choose which trips count in my stats?
Yes. Tick the trips to include. A trip you organised for someone else can be marked "not my trip" so it never counts. Share your stats with a public link or a forum signature.
Does it do hiking routes?
Yes. A hike on the itinerary shows distance and elevation, with a downloadable map PDF for when there's no signal on the trail.
Does it suggest places to eat?
Yes. Each stay shows well-known spots nearby, and every event page lists local eats.
Sharing, calendar, export and settings
Does it sync with my calendar?
Yes. Your trips have a calendar feed you can subscribe to in your phone or desktop calendar. It updates when a trip does. Your calendar is where the rest of your life is, and the trip belongs there too.
Can I print my itinerary?
Yes. A day-by-day agenda for any trip, and a year-at-a-glance calendar of your trips, both as PDF. Paper does not run out of battery, and some travellers, and some border officers, still prefer it.
What does a public trip link show?
A read-only page with no sign-in. Booking references, prices and notes are hidden. You see how many times it was viewed, and you can change or switch off the link.
Can I forward from more than one email address?
Yes. Add up to three extra addresses in settings. Bookings forwarded from any of them land on your account, and earlier forwards from that address are picked up.
Can I export my data?
Yes. Download all your trips and events as a JSON file from settings, and your expenses as a spreadsheet. Your flights can also be exported to Flighty through the calendar feed. Your data is yours to take.
How does the calendar feed work?
One subscription link for Google, Apple or Outlook with your upcoming trips and the last 12 months. Set buffer times around flights, emoji titles and a whole-trip banner. Revoke it any time. Calendars refresh on their own schedule, from a few hours to a day.
Can I search my trips?
Yes. Search finds events and documents across your own trips and the ones shared with you.
Can I move a booking to another trip?
Yes. Move one event from its page, or drag many between trips in Reorganize. Attachments and notes move with it.
Can I store loyalty numbers?
Yes. Membership numbers and status for airlines, hotels, car rental and cruise lines, kept on the dashboard with a tap to copy.
Can I change units, language and currency?
Yes. Celsius or Fahrenheit, kilometres or miles, 12 or 24-hour time, home currency and interface language. Your country of residence sets sensible defaults.
Can I add my passport?
Yes. Add one or several, with expiry dates. Visa advice uses whichever passport gets you in most easily, and you're warned when one is close to expiry.
Does it support TSA PreCheck or Global Entry?
Yes. Tell it which trusted traveller programmes you hold, and US airports show the wait time for your lane.
Can I hide booking references and prices on screen?
Yes. Display settings control every pill on a card: references, seat, gate, price changes and more, with separate choices for the compact view. Show references only on the day if you like.
Can I remove old data without deleting my account?
Yes. The Privacy Manager removes booking references, attachments, or notes and costs from the trips you select, keeping routes, dates and stats. It also clears entry document records and Travel Docs files.
Is there a home-screen widget?
Yes. The iPhone and Android apps have a widget showing your next events, so the gate is a glance away.
How do I check notifications are working?
Settings > Diagnostics checks push, email, parsing and calendar feeds, and lets you send a test push or a test email.
Is there a dark mode?
Yes. Dark, light or follow your device, plus larger fonts and a compact trip view.
How can I export all my TripIt trips to JSON or CSV?
TripWaffle provides a free TripIt export tool at https://tripwaffle.com/tripit-exporter/. It lets you export your TripIt history as JSON using your existing browser session, then convert the file to CSV locally. No TripWaffle account is required for the self-service export. Your travel history is yours to take, whichever app it lives in.
Assistants, apps and cost
Is TripWaffle free?
Yes. No subscription, no card, no upsell. We built it because we wanted it to exist and enjoy sharing great software. There is no paid tier to steer you towards, so every feature is built to be useful, not to extract a subscription from you.
Does it work with Claude or ChatGPT?
Yes. Connect either one and ask about your trips, check a flight, or add a booking by pasting the confirmation. You can revoke its access from settings at any time.
Which platforms does it run on?
iPhone, Android and any web browser. All three share one account, so a booking added anywhere instantly shows up everywhere. The interface comes in English, German, Spanish, French, Japanese and Portuguese. One account everywhere means the phone in your pocket and the laptop at your desk never disagree about your trip.
How do I get help?
From the support page. A person reads every message, and the reply comes from someone who uses the app for their own trips.
Does it work offline?
Yes. The app keeps your upcoming trips on your phone, so your itinerary, addresses and booking references open with no signal: on a plane, or abroad without data. The moment you most need your hotel address is often the moment you have no signal.
Does Claude or ChatGPT need a paid plan?
Claude works on its free plan. ChatGPT needs Plus or higher, on the web version.
Something missing? Ask us. The privacy policy has the full data detail, and the assistants guide covers Claude and ChatGPT.
